The Primary Advisor is expected to connect with their advisees who receive an Early Alert to ensure the student has discussed a recovery plan with their professor and the student is connected to appropriate resources. Once the plan is established, the advisor can close the case.

Process Overview

- After an instructor submits an Early Alert, the Student receives an automatic email with instructions to (within 1 week):
- Reach out to the instructor to discuss the concern and work together to build a plan for success; and
- Communicate the plan with the academic advisor by email or in a meeting so that the advisor is aware and can support the student moving forward.
- Simultaneously, the Primary Advisor receives a notification by email from Compass.
- After an instructor submits an Early Alert, the Student receives an automatic email with instructions to (within 1 week):

If the student has not communicated a plan within a week…
- The Primary Advisor emails the student to follow up, adds a comment to the case, and updates the case status.

If the student does not respond to the advisor’s follow up email…
- The Primary Advisor assigns the case to the Assistant Dean/Director of the Academic Success and Writing Center, Kara Uhrich, for additional follow up. Kara Uhrich identifies the appropriate point of contact(s) for additional outreach.

Case Closure
- A case is considered closed when one of the following actions takes place:
- The student communicates their plan with their advisor.
- The professor tells the advisor that the concern has been addressed.
- The student withdraws from the class or takes a leave of absence.
- The Primary Advisor or case assignees can close a case. Case closure notes should include a summary of action steps and conversations/communications with the student.
- A case is considered closed when one of the following actions takes place:
Important Notes for the Advisor
- An automatic email will be sent to case assignees after 4 days of inactivity.
- The comments added to a case are not visible to the student. However, they are part of the student’s records and are viewable by the student if requested.
- A case can be reopened if needed.
- Each college and intercollege (IC) program has designated Case Managers who serve as a safety net for Early Alerts. Case Managers are designated contact(s) within the college and IC programs who monitor their college’s Early Alerts through a tile on their Compass dashboard. The Case Manager will follow up with the Primary Advisor, Student Success Team, or student if a case has no activity.
